Plain-language summary. Kaeros is a CV creation and review service. We use personal data only to provide the service, support users, operate the app, keep things secure, and meet legal obligations.
1. Who we are
Kaeros ("Kaeros," "we," "us," or "our") provides a service that helps users create, improve, review, and deliver CVs and related career documents. For privacy-related requests, please use the Disputes section in your account settings.
2. What personal data we collect
Account and identity information: name, preferred name, email address, phone number, location, and account settings.
Professional and CV information: education, work history, achievements, languages, certifications, skills, job targets, preferred industries, and supporting notes you choose to provide.
Uploaded or linked materials: an existing CV, LinkedIn URL, or other documents you ask us to use in the drafting process.
Communications with us: support requests, revision requests, feedback, and operational messages.
Transaction and billing information needed to manage purchases, invoices, and refunds. Full card data is handled by our payment provider, not stored directly by Kaeros.
Technical and usage information: device or browser data, session timestamps, and service diagnostics needed for security and troubleshooting.
Optional profile details such as a photo, if you choose to provide them.
Sensitive information: Please avoid uploading special-category or highly sensitive personal data unless it is truly necessary for the service.
3. Why we use personal data
We use personal data only for legitimate, specific service purposes, including:
- •To create, improve, review, quality-check, and deliver CVs and related career documents.
- •To assign work internally between writers, QA reviewers, admins, or support staff when that access is needed for your request.
- •To communicate with you about orders, revisions, support, updates, and account issues.
- •To operate the app, manage authentication, prevent abuse, detect security issues, and keep the service running.
- •To comply with legal, tax, accounting, and fraud-prevention obligations.
- •To improve internal workflows, templates, and quality controls.
4. Legal bases for processing
Depending on the situation, Kaeros may rely on one or more of the following legal bases under the GDPR:
- •Performance of a contract: when we need the data to provide the service you asked for.
- •Consent: when you choose to provide optional information or when a feature specifically relies on your consent.
- •Legitimate interests: when reasonably necessary for service administration, quality assurance, fraud prevention, and platform security.
- •Legal obligation: when we must keep or disclose information to comply with applicable law, tax rules, or regulatory duties.
5. Who can access your data
Access is role-based and limited to people or providers who need the information for a specific task:
Writers / CV specialists When access is allowed: When assigned to prepare, improve, or revise your CV. What they may access: Your profile, experience, education, job targets, and supporting materials.
QA / HR reviewers When access is allowed: When a quality check is required before delivery. What they may access: The draft CV and background information needed to verify quality and clarity.
Admins / support When access is allowed: When needed for account support, billing, troubleshooting, or compliance. What they may access: Only the information reasonably needed for the issue being handled.
Technical service providers When access is allowed: When they host, store, or help process data under contract. What they may access: Information their system needs to provide hosting, storage, or other operational functions.
6. Third-party services and processors
To run the service, Kaeros uses third-party providers which may process personal data on our behalf:
- •Email and communication services.
- •AI and language-assistance tools used to support drafting, editing, and quality control.
- •App-building, hosting, database, storage, and automation services (including Base44 and its related infrastructure).
- •Payment processors, analytics tools, and other vendors reasonably needed to run the service.
7. AI tools and human review
Some user materials may be reviewed by human professionals and may also be processed through AI-assisted tools when that helps with drafting, editing, formatting, or quality control. AI tools are used to help deliver your request — not to give unnecessary access to personal data. Wherever possible, Kaeros minimises the data sent and only uses AI-enabled workflows that fit its privacy standards.
8. International data transfers
Some service providers used by Kaeros may store or access personal data outside the European Economic Area. When that happens, Kaeros transfers personal data only using appropriate legal mechanisms and suitable safeguards, such as an adequacy decision or standard contractual clauses.
9. How long we keep data
Kaeros keeps data only for as long as necessary for the purpose for which it was collected:
- •Active account data: while your account remains open and for a reasonable period after closure.
- •Working drafts and uploaded CV materials: during the active service period and for a reasonable time after delivery to manage revisions or support.
- •Support and operational records: for a reasonable period after resolution.
- •Invoice, tax, and accounting records: for the legally required retention period in the relevant jurisdiction.
10. Security and confidentiality
Kaeros uses reasonable technical and organisational measures to protect personal data, including role-based permissions, password protection, contractual confidentiality duties, secure vendor configurations, and encryption in transit where supported. No system can guarantee absolute security, but Kaeros aims to reduce risk by limiting access, minimising unnecessary data, and choosing reputable providers.
11. Your GDPR rights
Depending on applicable law and circumstances, you may have the right to:
- •Access your personal data.
- •Correct inaccurate or incomplete data.
- •Request deletion of your data.
- •Restrict certain processing.
- •Object to certain processing.
- •Receive portable copies of certain data.
- •Withdraw consent where processing is based on consent.
- •Complain to a competent data protection authority.

12. Children
Kaeros is intended for adult job seekers and professionals. The service is not directed to children under 16.
13. Changes to this policy
Kaeros may update this policy from time to time to reflect changes in the service, legal requirements, or provider stack. The latest version will be posted in the app with the updated effective date.
